File sharing — securely provide files to individual recipients
File sharing lets you decide which of your stored files a specific person may retrieve later.
Each share belongs to exactly one recipient. That person receives their own personal retrieval link and retrieval code.
For example, you can send the link by email and the corresponding code by SMS or automated voice call.
What is a file share?
A file share connects three things:
one person → one or more files → personal access
Example:
You want to make three documents available to your brother Max in the situation you have planned for.
You create a file share called “Documents for Max”, select Max as the recipient and then choose the files you want to include.
zorVaro creates a personal retrieval link and a personal retrieval code for that share.
Other contacts do not gain access to this share.
Combine email, SMS and voice call
You decide how you want to send the access information.
For example:
Email: personal retrieval link
SMS: personal retrieval code
or:
Email: personal retrieval link
Automated voice call: personal retrieval code
Splitting the information across different communication channels is optional. The link and code can also be sent together.
1. Prepare files
First, upload the files in your zorVaro area under “Files”.
A file can later be shared with several different people. Each person receives their own separate share.
2. Create a new file share
Open the following section in the menu: “File sharing”.
Enter a clear name, for example:
“Documents for Max”
or
“Information about caring for my dog”
Then select the intended recipient and the files that person should be allowed to access.
Select “Create file share” to create the personal share.
3. Use the retrieval link and retrieval code
Each file share includes:
Personal retrieval link
An individual link that takes the recipient to their file share.
Personal retrieval code
An individual code for the same file share.
Links and codes are hidden by default in the user area. You can reveal or copy them when needed.
4. Use the link and code in an action
When creating an email, SMS or voice-call action, you can use a prepared file share.
The following placeholders are available, among others:
{{retrieval_link}} – personal retrieval link
{{retrieval_code}} – personal retrieval code
When the message is sent, zorVaro automatically replaces these placeholders with the access details for the respective recipient.
Example: link by email
Message:
“Hello {{recipient_name}}, you can find your personal documents at {{retrieval_link}}.”
Example: code by SMS
Message:
“Your personal zorVaro retrieval code is {{retrieval_code}}.”
Both messages can refer to the same file share.
This allows the link and code to be deliberately sent through different communication channels.
Standard email attachments still work
File sharing does not replace standard email attachments.
For email actions, you can still choose whether files are sent directly as attachments, made available for protected retrieval through zorVaro, or both options are combined.
If an action does not require any files, simply select “No files”.
The file options will then be hidden.
Each recipient gets their own share
If the same documents should go to several people, each person receives their own file share.
This allows access to be managed independently for each recipient.
For example, you can revoke access for one recipient without affecting the shares of other recipients.
Revoke access at any time
Under “File sharing” you can see all existing shares.
Use “Revoke access” to disable an individual share at any time.
The personal link and corresponding retrieval code will then stop working.
Other file shares and recipients remain unaffected.
This is useful, for example, if the wrong documents were accidentally shared with someone.
Important: if a file has already been downloaded and stored on the recipient’s device, zorVaro cannot subsequently delete that local copy. Revoking access does, however, prevent any further access through that file share.
Good to know
Creating a file share does not mean the files are sent immediately.
You can prepare the share first and then assign it to one or more scheduled actions.
Only when the relevant action is actually executed are the link or code sent as part of your prepared message.
This lets you calmly prepare your documents and communication channels in advance.
